Cold email for cleaning companies: what actually books walkthroughs

Subject lines, structure, follow-up cadence and the deliverability traps that kill 90% of cleaning-company cold email programs.

    The single biggest mistake

Most cleaning companies write cold emails about themselves. 'We're a family-owned cleaning company with 12 years of experience…' No facility director on earth is opening a second paragraph of that. The email is about the buyer, the building, and one specific reason you're reaching out. Everything else is cut.

    Structure that books walkthroughs

Subject line: short, specific, lowercase, no marketing voice. 'quick question about {{building_name}}' beats 'Professional Cleaning Services for Your Office'. Line 1: a real, specific reason for reaching out — the building, the role, something verifiable. Line 2: one sentence on what you do, framed as outcome. Line 3: a soft ask — '15-min walkthrough next week?' — not a pitch. Under 80 words. No logos. No images. No links in the first email.

Follow-up is where the meetings come from

Roughly 70–80% of booked walkthroughs come from follow-ups 2–5, not the first send. Cadence we run for clients: send 1 on day 0, send 2 on day 3, send 3 on day 7, send 4 on day 14, send 5 on day 28. Each follow-up shorter than the last. The final one is usually one sentence: 'Should I close this out?'

    Deliverability — the silent killer

Beautifully written emails in the spam folder convert at 0%. SPF, DKIM, DMARC, custom tracking domains, warmed-up mailboxes (4–8 weeks), separate sending domain from your main domain, send volume capped at 30–50/day per mailbox. Skip any of these and you'll wonder why a campaign that 'should work' is silent.

    FAQs

What's a good reply rate for cleaning company cold email?+

Healthy programs see 3–8% positive reply rates. Anything under 2% usually points to targeting, copy or deliverability problems — in that order.

Should I send cold email from my main domain?+

Never. Always use a separate sending domain (e.g. trycleanco.com when your main is cleanco.com) to protect your primary domain's reputation.

How many emails per day per inbox?+

30–50 max for cold outreach. Higher than that and Google / Microsoft start throttling and spam-foldering you, no matter how good the copy is.
