Free commercial cleaning templates & tools

Field-tested templates we share with CleanReach clients — copy them, brand them, ship them. No email signup required.

These free cleaning business templates and tools are built for commercial and janitorial companies in the US, UK and Canada. They cover the whole sale: pitching a building, pricing the job, sending the proposal, signing the contract and running the work.

    Templates to win the contract

Use the proposal template after a walkthrough, when the buyer wants to see your scope, schedule and price in one document. Use the bid sheet before that, to work out the price from production rates so you never quote below margin. Use the contract template once they say yes, so scope, payment terms, insurance and termination are agreed in writing before day one.

    Calculators to price it right

Underpricing is the most common reason a commercial cleaning contract loses money. The cost calculator turns square footage and frequency into labour hours and a bid price. The profit margin calculator checks an existing account. The contract value and lead ROI calculators show what a signed account is worth over its life and what you can afford to spend to win one. The rates page gives 2026 per-square-foot and per-hour benchmarks for the US, UK and Canada.

    Checklists to run the job

Once the contract starts, a written checklist keeps every crew consistent and gives the client something to sign off. The office cleaning checklist covers daily, weekly, monthly and quarterly tasks and can be printed or copied into your own system.

    Commercial cleaning sales pitch template

A short pitch you can send by email or say on the phone. Keep it under 80 words, name one problem the buyer actually has, and ask for a walkthrough rather than a sale.

Hi [Name], I run [Company], a commercial cleaning company working with [type of building] in [city].
Most [office managers / facility managers] we speak to have one of three problems: missed tasks, inconsistent crews, or no one to call when something goes wrong.
We fix that with a written scope, a named supervisor and a monthly quality check.
Could I take 15 minutes to walk the building and send you a fixed monthly price?

    Cleaning business sales letter template

For a longer letter or introduction email, use this five-part outline:

    1. Opening line: who you are and the type of buildings you already clean nearby.
    2. The problem: one specific issue buyers in that sector deal with (missed bins, washroom complaints, audit failures).
    3. Your fix: how your scope, supervision or reporting solves it — one or two sentences.
    4. Proof: a similar site you look after, or how long you have kept your longest account.
    5. Ask: a short walkthrough and a fixed quote, with two suggested times.

How to get office cleaning contracts for free

There is no such thing as a good free list of cleaning leads — shared lead lists are sold to several competitors at once. What is free is your own time. Here is the simplest way to use it:

    1. Pick one building type you already clean well and list every one of them in your area. Read more: office cleaning contracts.
    2. Find the person who signs the cleaning contract — usually the office, facility or practice manager. Read more: how to get commercial cleaning contracts.
    3. Send the sales pitch above by email, then follow up twice over two weeks. Read more: how to get commercial cleaning leads.
    4. Use free channels alongside it: Google Business Profile, referrals and local partners. Read more: free ways to advertise a cleaning business.
