How to win office cleaning contracts (the walkthrough playbook)

The walkthrough-to-contract playbook — what to ask, what to walk, how to price on the spot, and how to close before the buyer shops you.

    The walkthrough is the sale

Most commercial cleaning companies treat the walkthrough as data collection — measure square footage, count restrooms, send a proposal three days later. That's a losing flow. By the time the proposal lands, the buyer has cooled off, called two other companies, and turned the conversation into a price comparison. The walkthrough itself is where the sale happens.

    Qualify before you drive there

Before you book the walkthrough confirm three things: are they the decision-maker, is there an existing cleaner (and why are they looking), and is there a budget range. If you can't get those answers, the walkthrough is a tire-kick. Decline politely and ask to reconnect when those are clear.

Walk it like an operator, not a salesperson

Walk every floor. Open the restrooms, the break room, the receiving dock. Ask about peak occupancy, after-hours access, conference rooms, dietary restrictions in the kitchen, allergy issues, recent complaints. Take photos. The buyer wants to feel like you'll actually be the one solving their problem — show them you already understand the building better than the incumbent does.

    Price live, in the room

After the walkthrough, sit down for 10 minutes. Use your bid sheet. Give a verbal price range with a written follow-up the same day. The buyer respects decisiveness, and the longer it takes the more shopping happens. Same-day written proposal closes at 2–3x the rate of three-day delivery.

Close on a start date, not a signature

Ask: 'If we agree on the price, what's the soonest we could start?' That question shifts the conversation from whether to when. Most contracts we see close inside 7 days when this question is asked at the walkthrough, versus 21–45 days when it isn't.

    FAQs

How long does it take to close an office cleaning contract?+

With a same-day proposal and a start-date close, 60–70% of qualified walkthroughs close within 14 days. Without it, average close time stretches to 30–45 days.

Should I send the proposal at the walkthrough or after?+

Both. Verbal range in the room, written proposal same day. Anything longer than 24 hours and the buyer starts shopping you against incumbents.

How do I beat the incumbent cleaner?+

Don't lead on price. Lead on what's specifically broken with the current service (you'll have found it on the walkthrough) and how your operating standard fixes it.
